How to deliver event photos the same evening, without burning out your photographer

A step-by-step workflow for same-day delivery: what to shoot, when to upload, and how to automate everything after the shutter clicks.

Agree on the delivery moment before the event

Same-day delivery starts in the briefing, not in the edit. Agree with your photographer on one or two upload moments: a midday batch for morning sessions, and a final batch within an hour of the last shot. That rhythm keeps editing sessions short and predictable.

Culling is the biggest time sink, so agree on a lighter touch: remove the blinks and misfires, skip the pixel-level retouching. Attendees care about being found in sharp, well-lit photos, not about magazine-grade color grading on all two thousand frames.

Let matching and delivery run themselves

Once photos hit the platform, everything downstream should be automatic. Guests who registered with a selfie get matched as photos arrive, and each one receives a personal email or WhatsApp message the moment their gallery has content.

This is the part teams used to do by hand: sorting photos into folders per person, chasing email addresses, sending links one by one. Automating it is what turns same-day delivery from a heroic effort into a default setting.

Close the loop with the numbers

The morning after, look at three numbers: how many guests opened their gallery, how many downloaded, how many shared. Those metrics tell you whether the delivery moment landed and give your photographer concrete proof of the value they created.

Share the dashboard with the client or your leadership team. "87% of attendees opened their personal gallery within 24 hours" is a stronger line in a wrap-up report than any number of adjectives.
